    To Mail Merge without using Outlook

    (The above .docx includes screen shots of the different steps.)
    First you need to download your client list. If you are using excel you follow the directions above, but do not add the CC field.

    Copy and paste the subject and body into a email, do not close it will auto save a draft
    Replace Hi NAME, with First Name, so that it will populate the clients’ first name.
    Now go to Google Sheets.
    If you don’t know how to find Google Sheets
    From your Gmail account
    Next click on the square of dots in upper right
    Click on Google Drive or if you see Google Sheets click on that – see below
    If you went to Google Drive click New – see below
    Go down to Google Sheets and hover over arrow
    Click Blank spreadsheet
    The first time you are doing this you will need to download an Add-on
    Click on Add-ons – see below
    Next click on Get add-on
    This brings up a pop-up – Put Mail Merge in the search box – see below
    This will bring up several options – these instructions are for Mail Merge with Attachments – Find Mail Merge with Attachments and click on the blue + Add button for this add-on
    Now to merge the list and the email draft
    Go back to your Google Sheet
    Click on Add-ons
    Click on Mail Merge with Attachments
    Click on Create Merge Template
    Now click on File
    Click Import
    Click Upload and drag and drop your Client List/Mail Merge List or browse for it
    Check Append rows to current sheet then click import.
    Delete row2 by clicking the 2 to select it and click Edit and then Delete row2
    Click Add-ons once again
    Click Mail Merge with Attachments
    Click Configure Mail Merge
    Now add your name in the Sender’s Full Name box
    Add Steve’s email address to CC Address – stevekantor@gmail.com
    Click Continue
    Choose Use an existing Gmail draft message as template from the drop down menu
    Another box should appear and show the subject of the email
    If you have more than 1 draft choose the one for the email offer
    You can send a test email to yourself to see if the draft needs any tweaks – the fonts are different sizes or spacing is off.
    With this mail merge you can only send 50 emails a day (so that would be 25 clients and 25 cc’s to Steve). If you send your first merge of the morning, it will reset around 1:00 pm PT and you can send another merge in the afternoon and repeat the next day until all are sent.

    Close Now
    Clients rated as Close Now are clients that have expressed interest in signing back up for services and you feel they will sign back up within the month. These clients should be scheduled for a call with Steve as soon as possible, either on a Client Group Call or Conference Call with Steve, you will be required to attend the call. If you are unable to attend please contact TL so she can arrange for someone to be on the call. All correspondence with the client should have Steve copied on the emails, this will give Steve the opportunity to advise you further on the client. Steve may advise for you to get the client on a call with him, directly send the client a proposal or request additional information from the client. Due to Steve's commitments within BAB he may not respond to your emails right away so always follow the guideline to get the client on a call with Steve unless notified otherwise.

    Save as Month Client List or Month Mail Merge List.
    Once you have your merge list, go to your Gmail account and make a draft of the Monthly Email Offer.
    Click on the link for the Monthly Offer - http://lifebushido.wikispaces.com/Lifebushido+-+Monthly+Theme+-+Email+Templates

    Go to https://lifebushido.quickbase.com/db/beftumt8p?a=q&qid=98
    Select your name on the left of the report to pull only your clients ( I add this report as a bookmark to my bookmark bar so I don’t have to do this every time)
    Click on the wrench at top under You’ve made changes. This brings up the screen to customize the report.
    Go to second sections titled Columns to display
    Remove all the columns except First Name, Last Name and Email Address. To Do this
    Click on each name in the second column under Report Columns
    Then click the bottom arrow to remove
    You might have to add Last Name – to do this, click on Last Name in the first column and then click the top arrow to add to Report Columns. To move Last Name under First Name, click the single up arrow on the right side.
    Once you have removed the unneeded columns, click the green Save button at the top.
    Name your report and click save then click Display ( I name it Mail Merge List – I also bookmark this report once I click Display)
    Now go to upper right and click on More
    In the drop-down menu click on Save as a spreadsheet
    Save as Month Client List or Month Mail Merge List.

    Close Now
